Scenario Managing diverse invoice processing for wholesale trading, service consulting, and manufacturing clients.
Challenge A fixed, rigid OCR template captures clutter for simple clients while omitting mission-critical operational fields for others.
Approach & Outcome Configurable field selection per client, side-by-side human audit, and verified export to TallyPrime.

The Challenge: One CA Firm, Different Client Requirements

A CA firm may handle purchase invoices for a wholesale distributor, service invoices for a consulting business and raw-material invoices for a manufacturer. All three clients need correct books, but their document-level data requirements are not identical. A single rigid OCR template can force accountants to clean unwanted columns or manually add missing information.

Consider three illustrative client workspaces:

  • Client A (Trading): Demands item-wise purchase details, HSN codes, and unit rates for stock-related review.
  • Client B (Services): Mainly needs invoice identity, GST tax split, and payment terms without cumbersome item tables.
  • Client C (Manufacturing): Requires purchase order references, challan numbers, transport vehicle IDs, quantities, and freight charges.

The workflow should allow each client’s accountant to choose the fields relevant to that work, without implying that selection alone automates classification, GST compliance or inventory accounting.

The AccuRaik Approach: Choose Individual Fields

AccuRaik’s field-selection interface lets users search for fields or select them by section. The available sections include Invoice, Party, Amounts & Tax, More Details, Status, Seller Bank Details, and Item Details. This gives accountants a practical way to tailor the output to different clients instead of extracting every field by default.

Available Fields by Section

Invoice: Invoice No, Invoice Date, Due Date, Type
Party: Party Name, Party GSTIN, Seller Name, Seller GSTIN, Buyer Name, Buyer GSTIN, Place of Supply
Amounts & Tax: Taxable Amount, CGST, SGST, IGST, Cess, Total Tax, Discount, Freight, Packaging, TCS, Round Off, Total Amount
More Details: Reverse Charge, PO Number, PO Date, E-Way Bill No, IRN, Payment Terms, Challan No, Vehicle No
Status: Review Status, In Tally, Source File
Seller Bank Details: Bank Name, Account No, IFSC, UPI ID
Item Details: Item / Description, HSN / SAC, Item Qty, Item Unit, Item Rate, Item Amount

*Note: Field availability in the selector does not guarantee that every source invoice contains that field or that OCR will read it correctly. Missing or ambiguous values must be handled through review.

Three Client Profiles, Three Different Extraction Configurations

Client A: Wholesale Trading Business

Item-Level Focus

Business Need: Item-level purchase information and full GST breakdown for multi-vendor supplier invoices.

Selected Fields: Invoice No, Invoice Date, Seller Name, Seller GSTIN, Item / Description, HSN / SAC, Item Qty, Item Unit, Item Rate, Item Amount, Discount, Taxable Amount, CGST, SGST, IGST, Total Amount.

Why these fields: The accounting team can compare product descriptions, quantities and rates with purchase records and inspect tax amounts before creating or importing vouchers. The example does not assume that stock items or inventory allocations are automatically created.

Client B: Professional Services Company

Lean Header Focus

Business Need: Capture service invoice identity, supplier details, payment dates and taxes without a large inventory-oriented data table.

Selected Fields: Invoice No, Invoice Date, Due Date, Type, Seller Name, Seller GSTIN, Buyer GSTIN, HSN / SAC, Taxable Amount, CGST, SGST, IGST, Payment Terms, Total Amount.

Why these fields: A smaller selection focuses review on expense recognition, tax details and payment planning. The accountant still determines expense classification, tax treatment and eligibility under applicable rules.

Client C: Manufacturing Business

Logistics & PO Focus

Business Need: Link supplier invoices to purchasing references, delivery challans, and inspect raw-material line items.

Selected Fields: Invoice No, Invoice Date, PO Number, PO Date, Challan No, Vehicle No, E-Way Bill No, Seller GSTIN, Item / Description, HSN / SAC, Item Qty, Item Unit, Item Rate, Freight, Packaging, CGST, SGST, IGST, Total Amount.

Why these fields: The team can review quantities, rates, transport-related charges and document references. Purchase order matching, goods-received matching and inventory valuation require additional data and rules beyond merely selecting invoice fields.

Illustrative End-to-End Workflow

Here is how an accounting practice standardizes invoice processing across different client businesses:

  1. Identify the client and document purpose: Before uploading or processing invoices, confirm the correct client company, document type and expected accounting outcome. Client separation is essential: a supplier invoice for one company must not be posted into another company's books.
  2. Select only the required fields: Use the field search or section-level selection to choose the fields appropriate for that client. For a trading client, include Item Details; for a services client, prioritize invoice identity, tax and payment terms; for a manufacturer, add PO and challan references.
  3. Process a representative invoice batch: Run the workflow on a controlled sample of PDFs, scans or invoice images supported by the current product version. Include multiple supplier layouts and at least a few difficult documents so the demonstration is realistic.
  4. Review extracted values: Compare each selected field with the original invoice side-by-side. Pay particular attention to GSTIN characters, invoice dates, taxable amounts, CGST/SGST/IGST splits, HSN/SAC and line-item associations. Correct missing or ambiguous fields before downstream use.
  5. Validate accounting readiness: Check invoice totals, duplicate candidates, supplier identities and ledger mapping. A selected 'In Tally' status field can help with workflow visibility, but actual voucher existence and correctness must be verified in TallyPrime.
  6. Export or transfer approved records: Use the available export or Tally-oriented workflow supported in the relevant AccuRaik product version. Confirm output format, voucher type, ledger mapping and posting results in a test company before a live rollout. An exported file is not proof of successful import.
  7. Record exceptions and improve the process: Track fields requiring correction, invoice layouts that fail, duplicate warnings and import exceptions. Refine the client-specific field selection and mapping based on actual observed needs.

Example: How the Output Changes by Client

When you open the export screen or view the extracted table, the benefit of dynamic field selection becomes immediately clear:

  • Trading client output: Includes invoice identifiers, supplier GSTIN, a list of item descriptions and quantities, item rates, discounts and tax components.
  • Services client output: Includes invoice number, dates, seller identity, SAC, taxable value, GST amounts and payment terms—with no requirement to capture stock quantities.
  • Manufacturing client output: Includes invoice identity, PO number and date, challan reference, vehicle or e-way bill reference where printed, raw-material descriptions, quantities, freight and GST components.

The benefit of customization is that each review screen or export can focus on relevant information. The actual time saved, extraction accuracy and integration behavior must be measured rather than assumed.

How to Measure This Workflow in a Real Pilot

To evaluate whether this workflow delivers real efficiency in your firm, run an empirical pilot:

Pilot Design Guidelines

Select 3 consenting client companies or anonymized representative datasets; process a comparable batch for each client; document the selected field configuration before testing; and have an accountant independently verify every critical field.

Six Metrics to Capture:

  1. Field-level accuracy: Correct extracted values divided by fields checked, reported separately for GSTIN, invoice number, dates, taxes and line items.
  2. Review effort: Average minutes spent checking and correcting an invoice.
  3. Completeness: Proportion of selected fields present in the source and successfully captured.
  4. Accounting readiness: Proportion of documents approved for export or posting without further correction.
  5. Posting outcome: Number of approved vouchers successfully verified in the target Tally company, plus rejected or duplicate records.
  6. Configuration effort: Time required to define the field selection for each client and update it when needs change.

*Do not publish sample savings percentages, accuracy claims or 'X invoices processed' as observed results unless backed by a real, reproducible test and retained evidence.

What This Demonstration Shows—and What It Does Not

It shows a configurable invoice extraction approach suitable for evaluating different industry requirements. It does not establish that AccuRaik automatically understands every industry-specific accounting rule, verifies GST registrations, checks ITC eligibility, performs three-way purchase matching, or guarantees correct Tally posting. Those tasks need separate validation, integrations or human judgment.

Some industries may need fields that are not in the listed selector, such as batch expiry, currency, project code or cost centre. These should be treated as additional requirements, not described as existing selectable fields.

Why Custom Field Selection Matters for CA Firms

CA firms serve businesses with different invoices, controls and reporting needs. A customizable field list allows the accountant to focus on the data required for a specific workflow, reducing irrelevant columns and making review criteria easier to define. It can also support a more structured conversation with clients about what information is required before entries reach the books.

The strongest outcome is not "fully automated accounting." It is a traceable process: the right document, the right fields, the right client company, an accountable reviewer and verified accounting output.

Try a Client-Specific Invoice Extraction Workflow

If your CA firm handles invoices from several industries, start by selecting the fields needed for one client and testing them on a representative document batch. Review the results and verify the downstream accounting output before expanding to other clients.
